{"id":375,"date":"2015-02-12T08:13:49","date_gmt":"2015-02-12T07:13:49","guid":{"rendered":"http:\/\/thomasgr.im\/shares\/?p=375"},"modified":"2016-05-24T18:22:06","modified_gmt":"2016-05-24T17:22:06","slug":"ppt-checklist-building-powerpoint-slides-that-dont-suck","status":"publish","type":"post","link":"https:\/\/thomasgr.im\/shares\/2015\/ppt-checklist-building-powerpoint-slides-that-dont-suck\/","title":{"rendered":"PPT Checklist: Building PowerPoint Slides That Don&#8217;t Suck"},"content":{"rendered":"<p><strong>Today&#8217;s checklist is based on several years of experience dealing with PPT slides<\/strong>, from being on the receiving end of PowerPoints made and delivered by teachers and other students on a near-daily basis as part of my <em>Master in Management<\/em> program to building, delivering and receiving feedback for my own slide decks, at school and at work.<\/p>\n<div id=\"attachment_380\" style=\"width: 510px\" class=\"wp-caption aligncenter\"><img loading=\"lazy\" decoding=\"async\" aria-describedby=\"caption-attachment-380\" src=\"https:\/\/thomasgr.im\/shares\/wp-content\/uploads\/sites\/3\/2014\/12\/16j57ut-e1423717816283.png\" alt=\"An ideal slide, I wish I could say I were the one to make it.\" width=\"500\" height=\"375\" class=\"size-full wp-image-380\" \/><p id=\"caption-attachment-380\" class=\"wp-caption-text\">Possibly the best slide ever, I wish I were the one who made it.<\/p><\/div>\n<p><strong>These tips are aimed at a very particular type of PowerPoint presentation<\/strong>, which strikes me as the most interesting one for both the lecturer(s) and the audience: presentations composed of slides that actually have content on them. This is in opposition to marketing-oriented presentations with HD pics and 6 words <em>top<\/em> per slide.<\/p>\n<p><strong>Self-supporting presentations are inherently very challenging to create and deliver<\/strong> in a manner that is both engaging and useful to the audience. The first reason is that you have to make a real effort in the way you organize and display all the information, to prevent overload. The second reason is that when you need to go over the deck orally, you have to make a real effort to come up with additional information that is useful and not already on the slides, to prevent boredom.<\/p>\n<p><strong>That said, to my mind these presentations are more useful<\/strong>: people actually learn stuff from them, and retain it better because of the multiple channels through which they acquired the information (at least visual + oral). Most of the time, they also look <strong>more professional<\/strong>, because presenters have less room for bullshit when they have to write content and display it for all to see. Take The Test!<\/h2>\n<p><strong>If you&#8217;ve ever done consulting work, you know this<\/strong>. However, having a list at hand might help you check important stuff, both in terms of content and form. Especially if you&#8217;re an intern there and have to shoot a slide deck every two days! So here&#8217;s the list, think about taking a few minutes at some point to look at each of your slides, count your points according to the formula below, and do your adjustments before delivering your deliverable :<span>)<\/span><\/p>\n<p><strong>RULES:<\/strong> 15pts for each across-slides item, 1pt for each per-slide item.<br \/><strong>TOTAL POINTS<\/strong>: <kbd>15 X 6 + <em>NB_SLIDES<\/em> X 7 = 90 + <em>NB_SLIDES<\/em> X 7<\/kbd><\/p>\n<h3>The Whole Presentation&#8230;<\/h3>\n<ul class=\"points\">\n<li><label><strong>uses a custom design<\/strong> made through the Slide Master<br \/><span>(customize fonts, colours, layout and sizes once and for all; it&#8217;s NEVER a waste of time)<\/span><\/label><\/li>\n<li><label><strong>is understandable by simply reading the slides&#8217; titles<\/strong>, in chronological order<br \/><span>(this is KEY to getting your points across efficiently)<\/span><\/label><\/li>\n<li><label><strong>has a logical transition between every single slide<\/strong><br \/><span>(you should NOT force a transition onto a slide, the flow should just, well, flow)<\/span><\/label><\/li>\n<li><label><strong>has an actual introduction<\/strong> that contextualizes the issue<br \/><span>(a presentation of the team is NOT a proper introduction)<\/span><\/label><\/li>\n<li><label><strong>has an actual conclusion<\/strong> that highlights the limits of your approach<br \/><span>(a &#8220;thank you&#8221; slide is NOT a proper conclusion)<\/span><\/label><\/li>\n<li><label><strong>has some backup slides<\/strong> stashed after the main content and filled with raw data<br \/><span>(this is a MUST; anticipate questions, don&#8217;t make it look like you are overprepared &#8211;but do be overprepared&#8211; if you&#8217;re not presenting, this becomes the &#8216;Appendices&#8217; section)<\/span><\/label><\/li>\n<\/ul>\n<h3>Each Slide&#8230;<\/h3>\n<ul class=\"points\">\n<li><label><strong>conveys one main message<\/strong> and one main message only<br \/><span>(don&#8217;t be afraid to have lots of slides, you&#8217;ll be fine as long as they are well-designed)<\/span><\/label><\/li>\n<li><label><strong>has a unique title: a sentence that relays the message<\/strong> delivered by the slide<br \/><span>(I find that showing the current section as well often adds clarity)<\/span><\/label><\/li>\n<li><label><strong>is designed to drive and structure the message<\/strong><br \/><span>(don&#8217;t just use bullet points, it&#8217;s both lazy and disrespectful to your audience)<\/span><\/label><\/li>\n<li><label><strong>is organized like a demonstration<\/strong> with arrows, boxes, flows&#8230;<br \/><span>(use arguments &#8211;text&#8211; supported by facts &#8211;figures, charts&#8211; and examples &#8211;media&#8211;<\/span><\/label><\/li>\n<li><label><strong>has at least one visual element<\/strong> of content<br \/><span>(you can use a high-quality photograph, a drawing, some schematics, a video&#8230;)<\/span><\/label><\/li>\n<li><label><strong>features no more than three colours<\/strong> for text and emphasis<br \/><span>(one colour for text, one for super points and one for superduper points)<\/span><\/label><\/li>\n<li><label><strong>has a unique identifying number<\/strong> displayed smartly<br \/><span>(have it in a subtle tone easily viewable by the &#8211;few&#8211; people who will be looking for it)<\/span><\/label><\/li>\n<\/ul>\n<style>\n.points li {margin-bottom:10px !important}\n.points li span {color:#666}\n<\/style>\n<p>&nbsp;<\/p>\n<p>I may add a few more items here and there, but to me these are the main points apart from the most basic, common sense points: prohibit language mistakes, align all elements properly, don&#8217;t pick a dumb font, adapt the content to your audience, never use acronyms or specialized terms that you don&#8217;t explain somewhere, etc. etc. Of course, if you spot something I forgot, just tell me in a comment below the post and I&#8217;ll make sure to add it!<\/p>\n<p>&nbsp;<\/p>\n<p>Here are a few other resources that are worth checking out, even though they mostly apply to marketing presentations: <a href=\"http:\/\/www.ncsl.org\/legislators-staff\/legislative-staff\/legislative-staff-coordinating-committee\/tips-for-making-effective-powerpoint-presentations.aspx\">Tips For Making Effective PowerPoint Presentations<\/a> and <a href=\"http:\/\/fr.slideshare.net\/sketchbubble\/polish-badslideineasysteps-38482126?related=2\">a Slideshare on how to beautify ugly slides<\/a>.
